Pupil register
The group's pupils and each one's enrolment in the year: the school, grade, class and status.
Open the page in SchoolOSWhat it is for
The register lists the pupils of the schools your role covers, or of the stage, grade or class it is narrowed to. A pupil is added into a school and a grade of the working year, and each pupil's page opens from here.
Who uses it
The page opens for whoever holds “View the pupil register”, to look only, or “Manage pupils: the register, guardians, placement and promotion”, to work in it. In the built-in roles: Owner, Manager, Team member, Principal, Counselor. They are granted to any role under Settings → Roles and permissions.
Step by step
- Press “Export Excel” to download the whole register under the filters and tab shown, not the 50 rows on screen, with the page's own columns (no identity number and no guardian's mobile), and “Print” to print it under the group's letterhead. An export is recorded as a count of pupils.
- The home page shows an “Enrolled” tile with the week’s trend, a “pupils waiting for a class” row under “Needs your decision” that opens placement, and a “Pupils” panel with those waiting for a class, those no notice reaches and those enrolled this week, all within your access.
- Pick the year in the list at the top of the page if it is not the one shown, then the school, stage, grade, class and status if you wish. The register opens on the pupils who hold a seat (“Enrolled or suspended”); to see those who withdrew or moved, pick their status or “All statuses”; a search by name or number looks through every status.
- Search by the Arabic or English name or the pupil number: the word never appears in the page's address. Whoever holds the key “A pupil's national ID (card code, search)” at a school also finds its pupils by the full national ID or iqama number; the number is matched by its fingerprint, never as text, and each search that found a pupil is recorded as a count of pupils, without the number.
- Press “+ Add pupil”, type their name, and choose the school and grade, and the class if there is one.
- Press a pupil's name to open their page. To delete or restore one: the bin, or the «Deleted» tab.
How it works
No pupil is added without an enrolment in a year: a pupil enrolled in an open year is what the plan counts, placed in a class or not, so when the group reaches its plan's limit the addition is refused until the plan is upgraded. A pupil's identity number is kept sealed. Deleting deactivates: the pupil leaves the count and the lists and their record is kept; a restore brings them back while the plan has room. Every action is logged without the pupil's data.
On the page
- The school, stage, grade and class (each list inside the one before it, and picking a class fills in the rest), the status, and the search by name or pupil number, or by identity number for the identity key's holders.
- The pupils and their enrolment in the chosen year.
Questions
- Why was a pupil refused?
- The enrolled pupils reached the plan's limit; upgrade the plan on the subscription page, or withdraw a pupil who has left.
- Who sees the pupils?
- Whoever holds the register's key over the whole group sees every pupil; a principal sees those of the schools their role's scope covers. A role given over a stage, a grade or a class sees the pupils of that place alone (a stage or grade also reaches its pupils not yet placed in a class, which a class does not).
- How do I delete a record in “Deleted” permanently?
- From the “Deleted” tab: “Delete permanently” on the record, or “Delete all permanently” above the tab after typing the count, which takes every deleted record of the kind in all of {{customer.the}}, whatever the page's filter shows. It takes the “Permanent delete” permission, the owner's, and a fresh code from the authenticator app each time. A record other records still point to stays, and what holds it is named. A person's record has its personal data erased that night, and a row with no name stays in the records. The backups keep a copy for a few weeks, then it is gone.
