Staff placements

What the school adds to a member of staff: their primary school, supervisor, category and sponsor, and their placements.

What it is for

A member of staff is added on the «Staff» page. Here you set their primary school, supervisor, category and sponsor, and where they are placed: a school, a stage, grade and class if you wish, and a role (teaches, administers or supervises), from a day to a last day.

Who uses it

The page opens for whoever holds “View staff placements”, to look only, or “Manage the school: its schools, stages, grades, classes, subjects and calendar”, to work in it. In the built-in roles: Owner, Manager, Team member, Principal. They are granted to any role under Settings → Roles and permissions.

Step by step

  1. Search for the member of staff, then the pencil on their row to change their school, supervisor, category and sponsor.
  2. Press the name to see their placements under the table, then “+ Add placement”: stage, grade and class are optional, and the place reads “school · stage / grade / class”.
  3. To end a placement that runs: the icon on its row, and type the last day.
  4. To update many: “Import”, by employee code; a principal's file takes their school's staff only.

How it works

A principal sees and changes the staff of the schools their role's scope covers, and cannot move a member of staff to or from a school outside it. A supervisor is another live member of staff, and a principal picks one among the staff of the schools their role's scope covers. Category and sponsor come from the group's lists. A placement is never deleted but ended by a last day, and a member of staff's two placements at the same school, stage, grade, class and role never overlap, so a teacher may hold 1/A and 1/B at once. A placement's grade and class only describe where the member of staff works and grant no access: access comes from roles.

On the page

  • The staff with their schools, supervisors, categories and sponsors.
  • The chosen member of staff's placements: end one that runs, add a new one.

Questions

Why don't I see every member of staff of the school?
Because your role is given to a stage, a grade or a class: you see those placed inside your place, and make and end placements inside it only. A member's school, supervisor, category and sponsor are for a role over the school.
Why was a placement refused?
The member of staff has another placement at the same school, stage, grade, class and role that overlaps it in days.
Does a school's principal import the staff?
Yes, whoever holds the school-management key at their school: only the rows of your school's staff are imported; the rest are refused as “Outside what you may enter”: a member of staff of another school or with no school, a move to another school, or a supervisor from another school. If the file holds such a row nothing of it is saved until it is corrected. There is no «Needs review» list for a role over one school.
Which role do I give a teacher, a supervisor, a counselor or a principal?
Settings → Roles and permissions has four ready roles: Principal, Stage supervisor, Teacher and Counselor. Give one to a person over their school: a teacher marks the register, and the same key opens the gate desk and the exit permits (a permit notifies the guardians) while closing the day, approving excuses and sending notices stay with others, a stage supervisor also closes the day, approves excuses and sends the notices, a counselor reads and changes nothing, and a principal runs their school. Importing attendance records from a file works only for someone given the “Import attendance records” key over the whole group, not over one school. A pupil's national ID in a card's code, the health reason “sick” and billing are held by none of them: the owner adds them to any role by name. Roles are usually given over the school, so a teacher reaches every class of their school; to narrow one to a stage, grade or class see the next question.
What does a role given over a stage, a grade or a class see?
When you give the role you walk the choice: school, then stage, then grade, then class, and the place is named “school · stage / grade / class”. The holder then sees and acts within that place alone on every page: the register, excuses, exit permits, placement, reports, lists, exports and the action log. A stage or a grade means that school's stage or grade only, not the group's other schools, and a stage or grade reaches pupils not yet placed in a class, which a class grant does not. What belongs to the whole school (shifts, tablets, the calendar, the school's settings and staff, the gate scan log, imports) is reached only by a role given over the school or the group. A class grant is for this year's class alone: next year's class needs a new grant. In the action log, a role over a stage or grade sees only what was recorded about a class within its place, and what was recorded about a pupil with no class is seen only by a role over the school. Existing roles over a school stay as they are, and the principal narrows each teacher. “Morning duty” opens the register of every class of the school on the duty day, to mark attendance only, and what the person on duty marks is recorded as written on duty.
