Attendance settings

The attendance settings for all the schools of the group in sections: school-day rules, notices, warning letters, reasons, devices and printing, and the calendar.

Open the page in SchoolOS

What it is for

Everything that sets attendance in the schools is here in one place, every rule with its name, its meaning and its value: each setting has its name, a line that explains it, its value now and an “Edit” button. A number or a switch is changed in place in a dialog; a setting that has its own page is opened from its “Edit”.

Who uses it

The page opens for whoever holds “The attendance settings page's door (comes with managing the Pupil affairs settings)”, to look only, or “Manage Pupil affairs settings: shifts, message wordings and reason lists”, to work in it. In the built-in roles: Owner, Manager, Principal. They are granted to any role under Settings → Roles and permissions.

Step by step

  1. The page is split into sections, and each section into rows: the name, a line under it saying what the setting does, its current value, then “Edit”. Only someone who holds “Manage Pupil affairs settings” over the whole group changes the settings; anyone else sees the values without an “Edit” on the numbers and switches.
  2. “School-day rules”: “Lateness” is the grace minutes after the shift's bell and the late days after which a pupil is on “Often late”; “Often absent” is the unexcused absent days after which a pupil is flagged (3 by default) and those after which they are “Critical” (5 by default). Press “Edit” and a dialog opens with the values: change them, then save; the change is recorded in the action log.
  3. “Notices”: “Automatic absence and lateness notices” opens each shift's rules on the shifts page; the message wordings open the text guardians receive; “Sending channel” says whether WhatsApp or SMS is connected and opens the messaging page; “Group messages” is off by default and, when on, lets someone whose access is narrowed to a stage, a grade or a class write to “A whole grade”, “A whole stage” or “A whole class” inside their own access only.
  4. “Warning letters”: on or off; a first letter is issued at the first number and a final one at the critical number, printed only once approved (see “Warning letters”). The two numbers of days are those of “Often absent”, and “Edit” opens the same dialog.
  5. “Reasons”: how many reason lists there are (excuses, exit permits and others) and how many reasons they hold; “Edit” opens the lists page.
  6. “Devices and printing”: what a pupil's card prints, its size and its copies, changed on the pupil cards page. The shifts and the gate tablets are pages of “Settings”, each with its own row there.
  7. “Calendar”: “Calendar order” sets which calendar is written first in every date, Hijri (the default) or Gregorian, the other in brackets, a birth date staying Gregorian; “School calendar” opens the school days and holidays.
  8. A row that opens a page you may not open is not shown.

How it works

Every setting here belongs to the whole group, not to one school. Every change is recorded in the action log with its value before and after. The numbers are read by the Pupil affairs dashboard, the gate and the warning letters as soon as they are saved; the calendar order is read by every page as it is drawn. The values shown are the ones in force now and change only when saved.

On the page

  • Lateness and often absent: the values now, changed in a dialog.
  • Automatic notices, wordings, the channel and group messages.
  • Switch the warning letters on or off.
  • The excuse and exit-permit reason lists.
  • Pupil cards: what is printed on them.
  • Which calendar is written first, and the school calendar.

Questions

Why is there no “Edit” on the numbers for me?
Because changing them needs “Manage Pupil affairs settings” over the whole group; ask the owner of the group.
Why don't I see the cards row?
A row shows only for someone who may open the page it leads to.
Where did the settings buttons at the top of the page go?
They are rows in these sections now, with the same dialogs and the same fields.
