Send notices
Send the absence and lateness notices of a closed day to the pupils' guardians on request, and see what reached them.
Open the page in SchoolOSWhat it is for
Notices go out by themselves when a day is closed if you turned on the notice rules for the shift. Here you send what is left, for a school and a day you choose, and see for each class how many pupils are absent and late, how many guardians were told, and how many messages reached, were refused or were recorded unsent.
Who uses it
The page opens for whoever holds “View sending notices”, to look only, or “Send attendance notices and custom messages”, to work in it. In the built-in roles: Owner, Manager, Team member, Principal, Stage supervisor. They are granted to any role under Settings → Roles and permissions.
Step by step
- Pick the school and the day above; a day still to come cannot be picked.
- Read the table: for each class the absent and late pupils, how many are waiting to be told, and what was told and how it stands.
- If “Not closed” shows, close the day on the register first; no notice goes about a day not closed.
- Press “Send notices” and confirm: a message is written to each guardian recorded to receive messages, for each pupil waiting.
- After sending the page reads you the result: what was written, what reached and what did not.
How it works
A notice goes about a closed absence or lateness nobody has been told of yet; none goes about an excused absence, a pupil marked “Custom” or an imported day, and the same absence is never told twice. It reaches only the guardians recorded to receive messages, no one else. If the school has connected neither WhatsApp nor a text-message service the message is recorded “unsent” and is not lost: you see it here and in the message log. Every action is logged with counts, without pupils' names or the reasons of excuses, and a notice never states a reason.
On the page
- The school and the day. As your role's scope allows.
- How many are waiting to be told, how many guardians were told, and how many are not closed yet.
- For each class: the absent and late pupils, what is waiting, what was told and how its messages stand.
- “Send notices” asks you to confirm and then sends what is waiting, for every class.
Questions
- What does the warning “No messaging channel is connected” mean?
- Approve the WhatsApp templates at Meta before the first school day: a notice written before its template is approved is not sent, and no text message is sent in its place. Connect a WhatsApp channel (or SMS) under “Settings → Messaging → Messaging connection” and check the “Attendance message wordings”; the notice stays recorded as “Not sent” in the messages report.
- Why is nothing waiting to be told?
- Because the day is not closed yet, or the absence is excused or imported, or the pupil is marked “Custom”, or the guardians have already been told.
- Why does a message show “Recorded, not sent”?
- Because the school has not connected WhatsApp or a text-message service yet. The message is kept in the message log and has not reached anyone.
- Why does no notice reach one particular guardian?
- Because they are not recorded to receive the school's messages about this pupil, or have no primary number. Change that in the pupil's file.
