Daily register

Mark a class's attendance for a school day, close the day, and tell guardians about absence and lateness.

Open the page in SchoolOS

What it is for

This is where a teacher or the office records each pupil's status in their class every day: present, late, absent, excused or custom. The day is then closed and the guardians are told.

Who uses it

The page opens for whoever holds “View the daily register”, to look only, or “Record attendance: the register, the gate and exit permits”, “Import attendance records”, to work in it. In the built-in roles: Owner, Manager, Team member, Principal, Stage supervisor, Teacher, Counselor. They are granted to any role under Settings → Roles and permissions.

Step by step

  1. Press “Export Excel” to download the class and day on screen as a file with the same columns, and “Print” to print it under the group's letterhead, naming the school and the class you picked; the health reason “sick” is withheld in both from anyone without its key, and an export is recorded as a count of pupils.
  2. The register opens on the class you last looked at in this browser; a link that names a class opens that one. If you mark attendance but do not close the day, “Classes not marked today” shows above the register with each class in your schools, each opening its register, and a card with their number is on the home page; both disappear once every class is marked.
  3. Pick the school, the stage, the grade and the class, then the day (each list holds only what is inside the one before it, and picking a class fills in its school, stage and grade). Only a school day of the working year opens, never a day still to come; step between school days with the previous and next buttons.
  4. “Today at school”, beside “One class”, shows one day for every pupil of your schools, or of a school, a stage or a grade, read only: each pupil's status, minutes late, card scan time and class (which opens that class's register on the day). Narrow it to “Absent only” (absent or excused) or “Late only”, and search by a pupil's name or code. It prints and exports with the same filters, with no mobile column. Marking stays on “One class”.
  5. Who marked a pupil, closed the day, changed a mark or decided an excuse is not shown on the register; it is read in the “Action log” alone. Its link sits under each marked pupil for someone allowed to read that log, and opens the rows of that very mark.
  6. Under the name of a pupil absent lately, “Absent 3 of the last 10 school days” shows: their absent days, excused or not, in their school's last 10 school days before the day open; a count of days only, never a reason, and nothing for a pupil who was not absent.
  7. Choose each pupil's status; on a phone you tap it from a row of buttons under the name, so the minutes field shows only with “Late” and the reason only with “Custom”, and a pupil you leave unmarked takes the shift's default status when the day is closed. For a late arrival type the minutes, and add a short note if you wish. For a pupil who left the class for an activity or a task choose “Custom” and its reason from the list (activity, task or other; the reason column opens only for “Custom”, is required then, and is refused with any other status), and say which activity in the note. Press “Save”: the page comes back showing what was saved.
  8. When the class is done press “Close day”: pupils nobody marked take the shift's default status, the day closes, and the absence and lateness notices the notice rules ask for go out.
  9. If a closed absence or lateness is left that nobody has been told of, press “Notify” to tell the guardians.
  10. “Close every class of the school” closes the day in every open class of the school you picked in one press, and the notices go out once for each record, as when one class is closed.
  11. If a notice was not sent because no messaging channel was connected when the day was closed, press “Resend unsent notices” once the channel is connected: those notices are written once only, by the channel connected now; one that was sent or is waiting to go is never resent, and no text message is sent in place of WhatsApp.
  12. Whoever holds the key for importing attendance records over the whole group, or at their school, can bring attendance in from a file with “Import from a file”.

How it works

There is one record per pupil per day per shift. Closing gives each unmarked pupil the shift's default status and stamps the day's records; it cannot be undone. A closed day is changed only by someone holding the key for changing closed days, and it stays closed. An absence an approved excuse covers stays “Excused” with the excuse linked, and no notice goes out about it. “Custom” is a pupil away from the class on an activity or a task: not absent, so no notice goes out about it at the close or at the automatic close, it has a count of its own in the register, the dashboard and the reports, it is left out of the divisor of the attendance and absence rates, and a later scan at the gate does not change it. Whoever marks the register may also choose “Excused” themselves, with no excuse on file and without the key for approving excuses: no reason is kept and no notice goes out; to keep the reason or tell the guardians, use the excuses page. Your access decides the schools you see: someone granted over one school sees no other. The reason “sick” on an excuse or an exit permit is health data: it shows only to someone given the key for health reasons, and everyone else sees “Reason withheld”. Every action is logged without pupils' names or the reasons of excuses.

On the page

  • The school, stage, grade, class and day: each list holds only what is inside the one before it, and picking a class fills in its school, stage and grade; the class you last opened (else the first class of your schools) and the latest school day open by themselves.
  • How many pupils, how many present, late, absent, excused and custom, and how many are not yet marked.
  • The class's pupils: choose the status (on a phone, one tap on the button row), the minutes late, the reason for “Custom” (open only for “Custom”) and a note. Each pupil's excuse and exit permit show here.
  • “Save” writes the statuses you chose and brings the page back showing what was saved; on a phone its bar stays at the foot of the screen.
  • “Close day” closes the day and sends the notices, “Notify” tells those not yet told, and “Import from a file” brings attendance in from a file, for whoever holds the import key over the whole group or at their school.

Questions

What does the warning “No messaging channel is connected” mean?
Approve the WhatsApp templates at Meta before the first school day: a notice written before its template is approved is not sent, and no text message is sent in its place. Connect a WhatsApp channel (or SMS) under “Settings → Messaging → Messaging connection” and check the “Attendance message wordings”; the notice stays recorded as “Not sent” in the messages report.
Why do I see classes that are not mine today?
Because you are on duty today in “Morning duty”: the register opens for you at every class of the school that has a shift today, to mark attendance only, with no closing of the day, excuses, exit permits, reports, exports or printing for those classes. Every mark you write there is recorded in the action log as written on duty. The duty covers today only, so no other day of those classes opens for you, and tomorrow you are back to the scope of your role.
Why can't I find the day I want?
Because it is not a school day in the school's calendar, it is still to come, or it is outside the working year.
Why can't I change a closed day?
Changing it needs the key for changing closed days; ask the manager of the group for it.
Who closes the day?
The principal closes the day, or it closes automatically at the shift's auto-close time when one is set. A teacher marks and saves, and the day stays open until it is closed.
Why was no notice sent about an absent pupil?
Because the absence is excused, the pupil was marked “Custom”, it was imported, the pupil has no guardian who receives messages, or the guardians were already told.
