Gate scan log

Every scan at the school's gate on a day, and what it came to.

Open the page in SchoolOS

What it is for

The log answers “what was scanned, when, and why was a card refused”, for each school and each day.

Who uses it

The page opens for whoever holds “View the gate scan log”; it is for reading, nothing on it changes anything. In the built-in roles: Owner, Manager, Team member, Principal, Stage supervisor. They are granted to any role under Settings → Roles and permissions.

Step by step

  1. Pick the school and the day, and a result if you want certain scans.
  2. Read each scan's time, code, result, pupil and class, and in the “Device” column the place it came from (a tablet's name or “Gate page”). Who scanned is not shown here: a check-in by a member of staff on the gate page is in the “Action log” with their name, time and result, and a tablet's scans are there as a batch under the tablet's name.
  3. Press “Export Excel” to download all of the day's scans, not the hundred on screen, with the same columns, recorded as a count of rows, and “Print” to print the page under the letterhead.

How it works

The log keeps the pupil's code when it was known; of an unknown number of six digits or more it keeps only the last four, so no identity number typed by mistake stays. The log is read only, and shows no more of a pupil than their name and class.

On the page

  • The school, the day and the result.
  • The scans, newest first.

Questions

Why does a code start with dots?
It was a long number nobody knew, so only its last four digits were kept.
What is an “old scan”?
A scan a tablet sent more than a day and a half after it: it never becomes a mark, and stays on the tablet until discarded.
