Pupil affairs dashboard

Your pupils' attendance today or over a period you choose: the counts, the rates, the days, the schools or classes, the classes not yet finished, the pupils often absent and what is waiting for a decision.

What it is for

The dashboard gives a quick picture of attendance at the group: how many came, were late or were absent, where absence is highest, which classes have not marked or closed today, which pupils are often absent, and what is waiting for you. The counts carry no names; names appear only in the “Often absent” card, for readers of the reports.

Who uses it

The page opens for whoever holds “View the Pupil affairs dashboard”; it is for reading, nothing on it changes anything. In the built-in roles: Owner, Manager, Team member, Principal, Stage supervisor, Teacher, Counselor. They are granted to any role under Settings → Roles and permissions.

Step by step

  1. Press “Export Excel” to download the breakdown table (the schools or the classes, with counts and absence rate) under the filters and the period shown, counts with no names, and “Print” to print the dashboard under the group's letterhead, naming the school and the class you picked.
  2. The home page shows the same morning to anyone who holds this dashboard’s key: the “Present”, “Absent”, “Late” and “Classes not marked” tiles with their counts and the last seven days’ trend; “Absent” and “Late” open today’s pupils for someone who reads the register or the reports; then “Needs your decision”, “Morning arrivals”, your school’s classes and “Latest”, all within your own access.
  3. Start with today, or choose “Last 7 days” or “This month”, or set two days in the filters. On a phone the filters are one “Filter” button that opens them, with the chosen values beside it.
  4. Press any number under “Counts and rates” (if you read the reports) to open its list in the reports under the same school, class and period; so does each part of the statuses bar, a day's point on the attendance-rate line opens that day's dashboard, and a school's or class's name in the table narrows the dashboard to it.
  5. Read “Morning arrival” for the period's last day: how many arrivals were recorded in each minute (the register's hand marks and the accepted gate scans) against the average of the seven days before, with the bell and the late line of the shift the classes in view run on; if their shifts differ, no single bell is drawn.
  6. Narrow the counts to a school, then a stage, a grade and a class in the filters (each list holds only what is inside the one before it, and picking a class fills in the rest): only the schools within your access are offered.
  7. Read the “Today, class by class” card: the classes whose pupils are not all marked or whose day is not closed; press a class to open its register.
  8. Read the table: each school or class with its counts and absence rate; a high one carries a “Warning” or “Critical” alert.
  9. Read the “Waiting for you” card: excuses waiting for a decision, absences and lateness to tell today and the period's exit permits; press any to open its page. Only the pages you hold the key to appear.
  10. If a line “Attendance notices that did not reach a guardian (failed or not sent)” shows above the cards, press “Open the messages”: how many there were today and in the last 7 days and the reason most share; it shows only to readers of the reports and only when the count is above zero.
  11. Read the “Often absent” card if you read the reports: the pupils with 3 or more unexcused absent days in the last 30 days ending on the period's last day, critical from 5 (or the two numbers the group set, which the card says), with each pupil's day count; press a name to open the pupil's report over the same days.
  12. The two numbers are the group's settings: whoever holds “Manage Pupil affairs settings” over the whole group changes them with “Edit” on the “Often absent” row of the “Attendance settings” page.
  13. To look at another working year, pick it in the list at the top of the page: the dashboard then reads that year's pupils and days, and a strip reminds you it is not the current year.

How it works

The attendance rate is the pupils present or late divided by the records that are not “Custom”, the absence rate is the absent and excused divided by the same records (a pupil away on an activity or a task is neither present nor absent, and has a column and a count of their own), and the average delay comes from the late records that carry minutes. A class or school whose absence reaches 15% is flagged “Warning” and 25% “Critical”. The counts are of your own pupils: someone granted over one school sees no other. Up to a month the counts are read from the records themselves; beyond it, from the closed days only. A pupil is flagged “Often absent” with 3 or more unexcused absent days in a fixed window of 30 days ending on the period's last day (whatever the period's start, so “Today” works too), “Critical” from 5, both numbers the group's settings; an excused day is not counted. The “Often late” card uses the same window with the late days the group sets in “Lateness settings” (3 by default), and a late arrival an excuse covers is not a late day. A day counts once even if the pupil was marked in more than one shift. Pupils' names appear on the dashboard only in that card, for someone who holds both “View attendance reports” over the pupil's school and the dashboard's key, and opening it is recorded as a count of pupils, never names; no identity number, mobile number or reason for absence appears. Each count under “Waiting for you” is for someone who holds the key of its page, over that page's schools.

On the page

  • Today, the last 7 days or this month, or a term of the year (the first term and the others) or the whole year.
  • The school, the stage, the grade and the class (each list holds only what is inside the one before it, picking a class fills in the rest, and “All classes” goes back to every class), and a period of two days.
  • The attendance and absence rates, the numbers present, late, absent and custom, and the average delay; each number opens its list in the reports.
  • The statuses in one bar, the attendance rate day by day, and the absence rate by school or class.
  • The morning's arrivals minute by minute for the period's last day against the days before, with the bell and the late line.
  • The classes that have not finished marking or closing today.
  • What is waiting for you: excuses to decide, absences and lateness to tell today, exit permits; each count links to its page.
  • The pupils often absent in the last 30 days; each name opens the pupil's report.
  • The pupils often late in the last 30 days; each name opens the pupil's report.
  • The schools (every school in your reach has a row, even one with nothing marked in the period), or the chosen school's classes, with their counts and absence rate; each school's row also carries four counts: classes open today, notices not delivered today, excuses to decide and gate tablets not called today, each opening its page (a dash where you may not open that page) and each in the Excel file.
  • Each day of the period's counts.

Questions

Why doesn't a class show under “Today, class by class”?
Because today is not a school day for its school, no shift runs for its grade today, or its marking and close are complete.
Why are my counts different from a colleague's?
Because each of you has the schools your access gives.
Why don't I see the “Often absent” card?
It is for readers of the attendance reports only; ask your administrator for the “View attendance reports” permission.
Why can't I see the whole year?
The longest period the dashboard shows is a school year, and beyond a month it is read from the closed days only.
