Class placement

One grade's pupils at a school, each with their class, and the seats of the grade's classes.

Open the page in SchoolOS

What it is for

To place pupils in classes after they are enrolled or promoted, move them between a grade's classes, and take them out of their classes, in one save that can be undone.

Who uses it

The page opens for whoever holds “View class placement”, to look only, or “Manage pupils: the register, guardians, placement and promotion”, to work in it. In the built-in roles: Owner, Manager, Team member, Principal. They are granted to any role under Settings → Roles and permissions.

Step by step

  1. The page opens on the grade with the most pupils with no class. Change the school, the stage or the grade in the lists; each list is inside the one before it, and picking a grade fills in its stage.
  2. Above the table is the strip of classes with each one's seats. “Fill with the available” puts the first pupils with no class into the class, as many as it has free seats; it stays off while the class has no capacity, so set it under “Classes” first.
  3. In the table pick each pupil's class from its list, or tick several pupils and pick “Move to”, then “Apply”. “No class” takes a pupil out of their class. Search by name or number in your browser; no name reaches the page's address.
  4. Changed rows are shaded and nothing is saved yet. Press “Save” and confirm the summary, or “Discard changes”.
  5. After saving, “Undo” puts everything back as it was, until the next save or until you leave the page.
  6. “Export Excel” downloads the whole school's pupils with their classes, and “Print class lists” opens a page for each class, of the stage or grade you pick on it (which also has “All stages” and “All grades”), with a running count, each pupil's name and number; press “Print” on that page to print it under the group's letterhead.
  7. “N pupils not enrolled this year” opens the “Waiting for a school” list in the pupil register, for those who may.
  8. If you do not hold “Manage pupils” at the school shown, the page is view only: no ticks and no buttons.

How it works

A pupil is placed only in a class of their own school, grade and year, and a class never passes its capacity after the whole save, so two pupils may swap between two full classes. If someone else changed a pupil's class since your page opened, the whole save is refused and nothing changes: reload the page. Every change is recorded in each pupil's history and in the activity log, and so is an undo. The right to manage is counted for each school on its own.

On the page

  • The school, stage and grade shown; only the grades with a class or a pupil with none at this school are listed, and the page opens on the grade with the most pupils with no class.
  • The grade's classes and their seats, and “No class” with the count of pupils with none.
  • Fills this class with the available pupils with no class; it is saved after you confirm.
  • The grade's pupils: those with no class first, then each class.
  • The pupil's class: pick a class or “No class”; a full class is disabled.
  • Shown when pupils are ticked or changes wait: “Move to” for the ticked pupils.
  • “Save” shows the summary of changes to confirm, then “Undo” appears.

Questions

Why is a class missing?
It is not of the pupil's grade or school, or it was deleted; make it on the classes page, or copy the year's classes on the promotion page.
Why do I not see the ticks and the save buttons?
Your “Manage pupils” right does not cover the school shown; pick your own school in the list.
Why was the save refused?
Either a class would be over its capacity with these changes, and the message names it, or some pupils' classes changed since you opened the page; nothing changes in either case.
