Import guardians

Guardians from an Excel file: one row per guardian and pupil.

Open the page in SchoolOS

What it is for

To link guardians to their pupils in one go.

Who uses it

The page opens for whoever holds “View guardians”, to look only, or “Manage pupils: the register, guardians, placement and promotion”, to work in it. In the built-in roles: Owner, Manager, Team member, Principal. They are granted to any role under Settings → Roles and permissions.

Step by step

  1. Download the template: the pupil number (or the pupil's ID if they have no number), the guardian's name, mobile and relation.
  2. Upload and check it, and tick “Skip” on a row with a problem to save the rest.

How it works

A pupil is matched by their number, else by their identity number if no number is given (the number wins if both are), a guardian by their identity number, then by their mobile with their name. A revoked link is never brought back by an import. The pupil's ID number is not kept and never shown in a list.

On the page

  • The mobile and the primary guardian: what a repeated mobile means, and what an empty cell does.
  • The template, the upload and the check.

Questions

A guardian of several children?
One row per child with the same details: they are made once.
Does a school's principal import guardians?
Yes, whoever holds the pupils' key at their school: only your school's rows are imported; the rest are refused as “Outside what you may enter”. A guardian who also answers for a pupil of another school has the whole row refused, so is neither changed nor linked, and an ID number of a person registered outside your school is refused. There is no «Needs review» list for a role over one school: a refused row is left out, not saved.
