Classes
The working year's classes at each school.
Open the page in SchoolOSWhat it is for
A class is a division of a grade at one school in one year. Pick a school and a stage in the filter to make their grades' classes in one go.
Who uses it
The page opens for whoever holds “View classes”, to look only, or “Manage the school: its schools, stages, grades, classes, subjects and calendar”, to work in it. In the built-in roles: Owner, Manager, Team member, Principal. They are granted to any role under Settings → Roles and permissions.
Step by step
- Choose the year in the list at the top of the page, and the school and the stage in the filter.
- Press “+ Make classes”, type how many classes each grade should have (and a capacity if you wish), then “Make”.
- To change a class's name or capacity: the pencil. To close it: the bin.
- To change all of a grade's classes at once: pick the school and the stage, then the grade's “Grade's classes” button under the table, change the names and capacities, and save.
- To add many classes or change their capacity: “Import” from an Excel file.
How it works
Only the difference is made: asking for 4 classes in a grade that has 3 makes one, named after the next free letter, and nothing is deleted if you ask for fewer. The server checks that the grade belongs to the chosen stage and that the school is the user's own, never trusting a hidden field. A class name is never repeated within a grade, school and year. A class in a stage the school did not teach yet adds the stage to it. A class's capacity is never set below the pupils it holds now: move them first. Deleting deactivates.
On the page
- Pick the school and the stage (and the grade or the class if you like; picking them fills in what comes before): they narrow the list, and the school with the stage bring up the button that makes classes.
- “Import classes” from an Excel file to add many classes or change their capacity.
- The year's classes by school and grade, each with “Enrolled / capacity”: the pupils enrolled in it now, of its capacity.
- “+ Make classes”: how many classes each grade has, and a capacity if you wish.
Questions
- Why don't I see every class of the school?
- Because your role is given to a stage, a grade or a class: you see the classes of your place only, and make, change and close them inside it. Copying the classes to next year is for a role over the school.
- Why is there no “+ Make classes”?
- Pick a school and a stage in the filter, and make sure your role covers the school.
- Does a school's principal import the classes?
- Yes, whoever holds the school-management key at their school: only your school's rows are imported; the rest are refused as “Outside what you may enter”, and if the file holds a row of another school nothing of it is saved until it is corrected. There is no «Needs review» list for a role over one school.
- How do I delete a record in “Deleted” permanently?
- From the “Deleted” tab: “Delete permanently” on the record, or “Delete all permanently” above the tab after typing the count, which takes every deleted record of the kind in all of {{customer.the}}, whatever the page's filter shows. It takes the “Permanent delete” permission, the owner's, and a fresh code from the authenticator app each time. A record other records still point to stays, and what holds it is named. A person's record has its personal data erased that night, and a row with no name stays in the records. The backups keep a copy for a few weeks, then it is gone.
